Who we are
Novarra Design Solutions LLC (“Novarra”, “we”, “us”) prepares residential solar and battery permit plansets for installation companies in Texas. This notice covers this website, the intake form and the installer portal. It applies to visitors from every US state.
Our services are for businesses. For information about installers and their staff, we decide how it is used. For information about homeowners that an installer sends us in a design request, we act on the installer's behalf, as their service provider (also called a processor), and use it only to do the work they asked for.
What we collect
From installers and their staff
- Account details: name, company, work email, phone number (optional) and password (stored only as a salted hash).
- The date and version of the Terms of Use and this notice you agreed to when you created your account.
- What you send us through the intake form, portal messages or email.
- Billing details: your Stripe customer record, invoices and payment status, and the brand, last four digits and expiry date of your saved card. Stripe holds the full card details, not us.
About homeowners and properties, inside design requests
- Customer name and site address
- Utility, ESIID and meter serial number
- System, panel, inverter and battery details, and annual production and usage
- Site survey photos (through links you share, for example SharinPix, CompanyCam or cloud storage) and roof drawings (2D wireframes or DWG, DXF or zip exports)
The installer is responsible for telling homeowners that their information is shared with a design provider and for having any permission the law requires. We don't ask for sensitive data such as Social Security numbers, financial account numbers, health information or information about children, and installers shouldn't send it. Please avoid photos that show people's faces or personal documents.
Collected automatically, including cookies
- One cookie,
novarra_session, which keeps you logged in to the portal. It is strictly necessary, is set only when you log in, and is deleted when you log out or after 30 days. When you dismiss our cookie notice, your browser remembers that in its local storage (no cookie is set). - Server logs (such as IP address, browser type, pages requested and time), used for security and troubleshooting.
- To limit abuse, we record login, signup and form attempts against a one-way hash of your IP address or email. These records are kept for up to 24 hours. To keep the free first design to one per network, we also keep a one-way keyed hash of the network (IP address, or the IPv6 network block) a free design was claimed from, linked to that account. We never store the raw IP address for this.
We don't use advertising, analytics or social media cookies, pixels or similar tracking tools, and we don't allow third parties to collect information about your activity on our site over time or across other websites.
How we use it
- To create, secure and support your account.
- To prepare, revise and deliver plansets, including AHJ and utility corrections.
- To look up missing job details when you allow it, for example entering the site address on an ESIID lookup site, or checking which code editions the jurisdiction has adopted.
- To take payment for design requests and keep business, tax and legal records.
- To contact you about your jobs, payments and account. These are service messages, not marketing.
- To run the AI designer on each request and to help our team prepare drawings. See How we use AI below.
- To keep the service secure, prevent fraud and abuse, and comply with the law.
We don't use personal information for targeted advertising, and we don't use it to make automated decisions that have legal or similarly significant effects on anyone.
How we use AI
Each design request is assigned an AI designer, which is always labelled as AI. It answers your portal messages using an AI model from our AI provider (currently DeepSeek or OpenAI). To answer, the model receives your messages and the job details needed to reply, but not the customer's name, street address, ESIID or meter serial number. Please don't type homeowner personal details into the chat. Our design team also uses AI tools to help prepare drawings, and a person on our team reviews every planset before it ships. Read more in our AI disclosure.
Who we share it with
We share personal information only as needed to provide the service, with:
- Our team members, who are bound by confidentiality obligations. Some of our team may work from outside the United States.
- AI providers, which process chat messages and job details as described above. These providers may process data outside the United States. DeepSeek, for example, may process data in China.
- Stripe, which processes card payments and invoices. Card details are entered on Stripe's own pages.
- Service providers that host this website and our files, provide cloud computers and software our team uses to prepare drawings, and send email for us.
- An independent licensed PE partner, only when you ask us to arrange a stamp for a job.
- Authorities or other parties when the law requires it, or to protect our rights, our users or the public.
- A buyer or successor if our business is sold or reorganised, under this notice.
We require our service providers to use personal information only to provide their services to us. We don't file permits for you, so we don't send plansets to AHJs or utilities ourselves.
We do not sell or share personal information
We do not sell personal information, and we do not share it for cross-context behavioral (targeted) advertising. We have not done so in the past 12 months. We do not sell sensitive personal information.
If your browser sends a Global Privacy Control signal, we treat it as a request to opt out of sale and sharing. Because we don't sell or share, nothing else changes. We don't respond differently to browser “Do Not Track” signals, because we don't track visitors across websites.
How long we keep it
- Account details: while your account is open, and then as long as needed for our records.
- Job records and files: for as long as we may be asked for corrections or as-builts, and as long as we need them for business, tax and legal records.
- Login sessions: up to 30 days. Abuse-prevention records: up to 24 hours. Free-design network records: while the account exists, so the one-per-network limit keeps working.
After that we delete or de-identify the information. You can ask us to delete your account at any time.
Security
We use reasonable safeguards for the information we hold. Passwords and session tokens are stored only as hashes, portal pages and uploaded files are available only to the account that submitted them and to our team, and connections to the site are encrypted. No system is perfectly secure. If a breach affects your personal information, we will notify you, the installer that sent us the information, and the authorities, as the law requires.
Your privacy rights
Wherever you live in the United States, you can ask us to:
- Confirm whether we process your personal information, and give you access to it.
- Give you a copy in a portable format.
- Correct information that is inaccurate.
- Delete it.
- Tell you the categories of third parties we disclose it to.
- Opt out of sale, targeted advertising and profiling. We don't do any of these, but you can still ask.
How to make a request
Email hello@novarradesign.com with the subject “Privacy request”. Tell us what you are asking for and how we can reach you. We will confirm your identity before acting, usually by asking you to reply from, or log in with, the email address we have on file. You can ask someone to make a request for you as your authorized agent; we may ask for proof that you gave them permission.
We will respond within 45 days. If we need more time, we will tell you why and may take up to 45 more days. Requests are free unless they are clearly unfounded or excessive. Some information we may need to keep, for example to complete a paid job or meet tax and legal duties; if so, we will tell you. We will not treat you differently for using your rights.
Homeowners
If an installer sent us your information in a design request, we hold it on that installer's behalf. You can contact the installer directly, or email us and we will pass your request to the installer and help them respond.
Appeals
If we decline your request, in whole or in part, we will explain why. You can appeal by replying to our decision, or by emailing hello@novarradesign.com with the subject “Privacy appeal”, within 60 days of our decision. A different person from the one who handled your request will review it, and we will tell you the outcome and the reasons in writing within 45 days. If we deny your appeal, we will tell you how to contact your state attorney general with a complaint.
Children
This service is for businesses and is not directed to children. We do not knowingly collect personal information from children under 13. If you think we have, email us and we will delete it.
Changes
If we change this notice, we will post the new version here with a new effective date. If the changes are material, we will also email account holders before they take effect.
